Job Description:
1. Prepare correspondence, reports, and materials for meetings and presentations.
2. Setup travel arrangements. (visa process co-ordination, flight ticket booking, hotel booking, and related travel requirements)
3. Setup accommodation and entertainment arrangements for company visitors.
4. Maintain the Managing Director's calendar.
5. Prepare and maintain Managing Director's expense report.
6. Setup and coordinate meetings and conferences.
7. Create, transcribe, and distribute meeting agendas and minutes.
8. Answer telephones calls in appropriate manner.
9. Meet and greet clients and visitors.
10. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
11. Maintain hard copy and electronic filing system.
12. Research, price, and purchase office supplies.
13. Coordinate project-based work.
14. Supervise support staff.
15. Other duties as assigned.
Reporting to: Managing Director
Secretarial Works.
Desired Candidate's Profile
Profile Degree in Secretary ship or equivalent.
Knowledge of Microsoft Office and telephone protocol. Typing skills, excellent organizational skills, and discretion with confidential information.
3 to 5 years of secretarial experience. Gulf Experience and Oman driving license is essential.
