Purpose & Scope:
· Performs a variety of clerical, technical and secretarial duties in support of the concerned Department’s activities. This includes entering/updating, retrieving and collecting data using computer aided techniques, filling, maintaining registers and records for all correspondence/documents, reports etc. Types all Department’s correspondence, reports, statistical data etc.
Main Duties:
· Receives all incoming mail including letters, memorandums, reports and written comments from relevant Divisions/Departments, Contractors & Consultants Companies and distributes to concerned Engineers.
· Maintains all the Department’s documents, registration and filing system including all technical correspondence and reports.
· Types/organizes all Department Correspondence, Memos, Letters, Presentations, Tender Enquires, Contract Agreements, Minuets of Meetings, Daily/Weekly/Monthly Management Reports, etc.
· Makes routine software backup on PC and keeps electronic/manual register for all Department’s correspondence.
· Carries out other secretarial duties such as preparing 5/2 bookings, leave/duty forms, timesheets, maintaining stocks of office stationery, preparing requisitions and purchase orders as necessary.
Minimum Requirements:
· Completion of Secondary Education (12 years) or equivalent.
· 4 Years experience in clerical/secretarial work and in application of data base computer software. (Oil field experience preffered)
· Good knowledge of written and spoken English
