Job Description Administers the day to day operations of the office of the Senior Executive (Saudi national). reports, prepares nutshell of the reports, highlights and summarizes them assisting the VP to accomplish his task in a most efficient manner. Includes managing daily communications with the team, preparing letters and memoranda inside and outside the Company, fixes up appointments with the Executives both internal and external, maintaining confidential files, visitors programs and providing general information as may be required. Organizes travels and hotel reservations through close coordination with the Travel agents. Attends meetings representing the executive and prepares the minutes. Attends Board of Directors meetings and assists with the arrangements for such and other important Company meetings. Administers and upkeeps the executive office in a most efficient manner Plans and advises the executive of his daily schedule, maintaining the day-book and keeping an appointment diary ensuring that all meetings, interviews and official duty trips are clearly indicated and communicated on time. Reviews the reports, highlights prominent aspects, summarizes and calls the executive attention to matters of importance. Receives in-coming correspondence and communications. Sorts and checks to determine proper routing and distribution secures and attaches. Prepares drafts when necessary and corresponds with various parties within and outside the Company for review and approval. Ensures production of the correspondence in final format. Receives and welcomes visitors and VIP guests with tact and courtesy, determines the purpose of the visit and directs them to the office. May also answer the telephone, take and convey messages (written or verbal) and answer general inquiries. Ensures proper maintenance of a comprehensive filing system for general correspondence, reports and other materials and personally keeps control of the executives confidential files, reports and other communications. Accompanies the executives / VIP guests on tours/visits of Company sites within the Kingdom as may be directed. Coordinates with media representatives concerning the executives press releases and any information regarding the Company's activities and businesses. Verifies all contracts, invoices, and claims etc., for executive approval to ensure that they are legitimate and in accordance with policies or agreements and are properly documented. Prepares and works with various departments to compile annual budget and monitor actual performance versus budget.
 
Desired Candidate's Profile
 
Profile A FILIPINO, GRADUATE, BS IN ACCOUNTING OR RELATED, WORKING EXPERIENCE WITH TOP EXECUTIVES (VP LEVEL). VERY SUCCESSFUL PERSONAL ASSISTANT WITH SPECIAL ORGANIZATION SKILLS.
